Implementation & Migration

How we get your
organization from here
to there.

Implementation is not a self-serve process. Every organization gets a guided onboarding with a real implementation team — from discovery through go-live and into stable operations.

Timeline

Implementation timelines vary based on organization size, complexity, and data quality. We provide a realistic estimate after the discovery phase. [VERIFIED IMPLEMENTATION RANGE]

👥

Your involvement

Successful implementation requires participation from your team — particularly for data validation, configuration decisions, and training sign-off. We lead, you verify.

🔄

Not a one-time event

Implementation ends at go-live. Ongoing optimization, configuration changes, and support continue through the RebelClub relationship — not just during onboarding.

The implementation journey

Nine stages from first conversation to long-term partnership. The timeline for each stage depends on your organization and is established during planning.
Not all organizations follow each stage at the same pace. Larger or more complex organizations take longer; simpler migrations can move faster. We adjust the process to what makes sense for you.
1

Discover

We start by understanding your organization — your programs, your team structure, your current data sources, and what you actually need from a platform. Not every organization needs every module.

2

Plan

A detailed implementation plan is developed: which modules, which data to migrate, how the platform will be configured, and a training approach based on your team.

3

Configure

Your RebelClub environment is built out based on the plan — user roles, permission levels, workflows, organizational structure, and integrations where applicable.

4

Migrate

Data is extracted from your source systems, mapped to RebelClub's structure, reviewed for quality, and imported. A staging review lets your team validate records before go-live.

5

Train

Training is designed around your team's specific roles — staff workflows, manager views, administrator configuration. Not a one-size walkthrough.

6

Launch

Go-live is a coordinated transition, not a surprise. Your team knows the timeline, what to expect, and who to contact if something isn't right.

7

Stabilize

The first weeks after launch are the most important. Active support is available as your team adapts to the new platform and identifies any configuration adjustments.

8

Optimize

Once your team is running, we look at what's working and what could be refined — workflows, reporting, communication patterns, or additional configuration.

9

Support

Ongoing support continues through the Support team. Your relationship with RebelClub doesn't end at implementation — it transitions into a long-term partnership.

Data migration: what it actually involves

Data migration is not a simple copy-paste. Here’s what the process looks like for typical organizational data.
📤

Export

Data is extracted from your current system in a structured format. Some legacy systems export cleanly; others require custom extraction work.

🗺

Map

Fields from your source system are mapped to RebelClub fields. Mismatches, missing data, and custom fields are reviewed together.

🧹

Clean

Data quality issues — duplicates, formatting inconsistencies, invalid values — are identified and addressed before import.

Validate

Imported data is reviewed by your team in a staging environment before go-live. You confirm accuracy before we switch over.

Important: Not all fields from all legacy systems can be migrated. The migration scope is reviewed and agreed during discovery — before you commit to a timeline. If something can't move, we tell you upfront.

Training designed around your team

Each role gets training focused on what they actually do — not a single walkthrough of every feature for every person.

Launch readiness

Go-live is a coordinated decision, not a calendar entry. Before switching over, your implementation team and your team review a launch readiness checklist together.
The checklist below is illustrative. Your actual checklist is customized to your organization during the planning phase.
All staff user accounts created and tested
Role permissions reviewed and verified
Member records validated by team lead
Donor records and history reviewed
Program configurations confirmed
Communication settings tested
Reporting dashboards reviewed
Emergency contacts and backup access confirmed
Support contact information distributed to staff
Go-live date communicated to relevant stakeholders

Common Questions

Implementation timelines vary significantly based on organization size, module scope, data quality, and team availability. [VERIFIED IMPLEMENTATION RANGE] — we provide a realistic estimate after the discovery phase.
Discovery involves understanding your organization’s needs, reviewing your current data, identifying the right modules, and establishing a realistic implementation plan — before any work begins.
Yes. Successful implementation requires your team’s participation — particularly for configuration decisions, data validation, training sign-off, and go-live readiness review. We lead the process, but your team validates it.
We review data quality during discovery and advise on what needs cleanup before migration. Some data quality work may need to happen before we can import — we flag this early.
Yes. Training is part of the implementation process, designed around your specific team roles and workflows. We do not charge separately for standard implementation training.
Your implementation team is available during and after go-live. Issues are addressed as they arise — go-live is a supported transition, not a drop-off.
Yes. Go-live requires launch readiness sign-off. If your team is not ready, we work together to address what needs to happen before switching over.
After go-live and stabilization, your relationship transitions to ongoing support through the RebelClub support team. The implementation team’s handoff is designed to be smooth.
